Grants Manager

The ICTJ seeks a Grants Manager to support the development department in its efforts to raise money for the organization. S/he will be responsible for managing administrative details of grants, managing the donor database, tracking the progress of current grants, working with program staff in preparing reports and budgets, monitoring cash flow of grants and providing an interface with the finance department regarding grant budgets and financial reporting. S/he will report to the Director of Development. Specific tasks include:


RESPONSIBILITIES:

Grant Administration:

  • Monitor grants monthly
  • Prepare internal and external grant budgets for each grant and distribute budgets to Executive Vice President and grant holder for approval.
  • Liaise with Executive Vice President, budget holders, and Finance to ensure that there is agreement on planned expenditures of grants.
  • Oversee all grant reporting.
  • Track grants cash flow and accounts receivable.
  • Reconcile grants receivable with accounting monthly.
  • Ensure grants are applied to the appropriate general ledger funds in Finance.
  • Supervise the Development Assistant's work on basic grants administration.
  • Draft financial reports to the donor's specifications.
  • Draft and edit narrative reports to the donor's specifications.
  • Manage the grant system of tracking compliance and performance of grants with donor conditions.

 

Donor Database Management/Administration:

  • Ensure consistent entry of data into the Raiser's Edge (RE) database and maintain data integrity by using regular system checks.
  • Supervise Receptionist in data entry into RE.
  • Train staff members on the use of RE and ICTJ protocols and assist users with RE questions.
  • Update as needed a policies and procedures manual for ICTJ use of RE.
  • Generate reports for various parties of the ICTJ including staff, management committee, and the board of directors.
  • Coordinate database backup and recovery procedures.
  • Update fields within RE based on organizational needs and programmatic directions.
  • Perform database administration tasks including global changes, merging duplicate records, flagging inactive records.


QUALIFICATIONS:

  • Bachelor's Degree with additional related college courses or professional training.
  • 3-4 years progressively responsible work experience, preferably in grants administration.
  • Strong writing, proofreading and editing skills.
  • Must be highly computer literate; knowledge of Raiser's Edge is essential, facility with Microsoft Access is desirable.
  • 3-4 years experience with financial monitoring of grants.
  • Attention to detail is essential.

Senior Associate and Head of Office, Nepal

ICTJ seeks a Senior Associate and Head of Office to work in Nepal. The ideal candidate will have wide ranging transitional justice expertise, as well as specific experience with truth commission processes. Particular expertise on reparations will be welcome as well. In addition, given the Nepal context, it will be important for the person in this position to have experience engaging with issues of diversity, inequality and social stratification and how these may be taken into account in transitional justice processes. This position will be based in Nepal and will report to the Asia Director.

RESPONSIBILITIES:

  • Represent ICTJ in the organization's work and dealings in Nepal.
  • Take responsibility for assessing and implementing a comprehensive and integrated transitional justice program in Nepal, as per ICTJ's current work plan and other projects that emerge through our ongoing country engagement.
  • Monitor and track transitional justice related developments and processes and work closely with local and international human rights focused networks in being responsive to political developments and strengthening local initiatives.
  • Provide comparative knowledge and analysis, policy advice, technical assistance and capacity building to relevant actors and partners in Nepal; this will include convening workshops, trainings and other fora for exchange, strategy discussions and mutual learning on transitional justice issues in Nepal.
  • Develop and sustain partnerships with local civil society in strengthening local struggles in the transitional justice arena
  • Organizing and overseeing consultancies, workshops and projects with local partners in Nepal.
  • Developing research projects in Nepal that synthesize lessons learned, deepen the ICTJ's approach to transitional justice issues, and strengthen the field of transitional justice, particularly to issues and challenges faced in country work;
  • Following up on the development of ICTJ programs in the South Asia region, and provide back-up support for that work.
  • Assisting with ICTJ fundraising efforts.
  • Developing and maintaining relevant contacts with, and providing information to, relevant actors inside and outside Nepal, including government actors, OHCHR and other UN bodies, donors and policy-makers.
  • Play a representational role on behalf of ICTJ at other events, conferences, seminars and meetings, both within and outside the region, as requested.
  • Manage office administration - oversee local staff, obtain legal status for office, etc.
  • Manage all aspects of ICTJ's Nepal program, including administration, human resources, finance, donor relations and the substantive duties.

 

QUALIFICATIONS:

  • Master's degree in the Law, Political Science, International Affairs or relevant field.
  • Minimum of 5-10 years of relevant work experience.
  • Professional level oral and written English communication skills.
  • Interest/expertise in the field - extensive knowledge of transitional justice; specific knowledge of South Asia a plus but not required; work experience in an international setting will be an advantage.
  • Must have experience with program management and working closely with civil society partners.
  • High level of professionalism and attention to detail.
  • Ability to work under pressure and adhere to strict deadlines
  • Strong interpersonal skills with an understanding of and familiarity working in close partnership with regional civil society networks.
  • Proficiency in MS Office Applications.

OTHER:

  • This is a one year project; individual must commit to be based in Nepal for at least one year, and ideally with the flexibility to extend to a two year time frame by mutual agreement. This is a CONSULTANT position. A competitive stipend is included. Ideal start date for this position is 07/01/09.

Program Assistant, Prosecutions Program

ICTJ seeks a Program Assistant for the Prosecutions Program, which focuses on domestic, internationalized and hybrid trials for mass atrocities through a series of technical assistance interventions and support to local civil society efforts. The Program Assistant provides overall administrative support for the program including: scheduling, organization of meetings and conferences, routine correspondence on behalf of the Program, liaison with other ICTJ units and such other program-related administrative tasks as the Program Director shall assign from time to time.

RESPONSIBILITIES

  • Work closely with the ICTJ Finance Department and the Program Director to coordinate the financial aspects of the program.
  • The timely submission of program expense reports, reimbursement claims, preparation of requests for payment to consultants and other vendors of goods and services to the program.
  • Preparation and oversight of grant and program budgets and the preparation of reports to funders.
  • Develop and utilize a comprehensive financial tracking system for the program to provide regular budget review information to the Program Director.
  • Administering program team tele-conferences, including note-taking and distribution.
  • Maintain calendar to track program staff schedules, liaise with ICTJ office Administrator.
  • Maintain program email distribution lists.
  • Maintain database of program management and projects.
  • Prepare internal situation reports of program activity.
  • Assist with travel arrangements for program staff.
  • Collect and process travel requests for all program staff.
  • Assist with travel arrangements for Director and Deputy Director, or other staff as directed by the program Director, including flights, accommodation, itinerary preparation and other matters.
  • Provide support to management of program consultant. 
  • Prepare consultancy contracts and maintain consultant files.
  • Liaise with program consultants on administrative matters, including ensuring compliance with ICTJ policies for reporting and payment, and travel arrangements as required.
  • Maintain database of program consultants.
  • Undertake formatting and basic editing/proof-reading of program documents.
  • Oversee final production phase of program publications, including liaison with editors, designers and printers.
  • Oversee distribution of program publications.
  • Maintain program list of contacts.
  • General program research support: Assist members of the Program Staff with research as requested by the Program Director, which may include country background, potential partner backgrounds, thematic/program-specific fact checking and other related program ideas.
  • Assist with event planning: which includes preparing invitations, corresponding with participants, arranging accommodation and catering, preparing background materials and providing logistical support during events, and coordinating travel arrangements for Program Staff and guests (in conjunction with the Travel Coordinator when it is a large event).
  • Miscellaneous: Handle the implementation of specific projects as requested by the Program Director, including follow-up work from any trips, conferences or seminars. 

POSITION SCOPE

Duties vary frequently and relate to a limited area of responsibility and require moderate training and some experience to perform standard assignments and resolve recurring problems.

PROGRAM RESPONSIBILITY:

Provide support to programs or projects through daily activities, working closely with more senior members of the Program staff.

FISCAL RESPONSIBILITY:

Responsible for tracking the use of ICTJ Prosecutions Program resources, and providing regular updates to the program director.

CONTACTS:

Incumbent has regular contact with staff in other offices and units to ensure work products are on time and performance goals are met. Incumbent has frequent contact with contractors, partners, funders, vendors and other agencies.

SUPERVISION:

Reports to the Director and Deputy Director of the Program.

POSITION REQUIREMENTS:

  • Education: Bachelor's Degree required, preferably including some study of international relations, human rights, legal studies, politics, management or development.
  • Experience: 2-3 years general work experience.
  • Related Skills or Knowledge: Must be a highly organized professional and possess excellent oral and written communication skills and strong interpersonal skills. Incumbent should demonstrate experience in establishing systems for managing multiple tasks without losing attention to detail, and have the ability to work under pressure and meet deadlines. Experience in managing a budget essential. Must be fluent in English and knowledge of other languages is highly desirable. Must be fully proficient in Microsoft Office, including Word, Excel, and Powerpoint. Prior experience with project management is strongly preferred.

Office Manager - Kenya

ICTJ seeks an Office Manager for its office in Nairobi, Kenya. The ideal candidate - a Kenyan national - will have at least five years experience in financial and administrative management. This position will be based in Nairobi and will report to ICTJ's Head of Office.

RESPONSIBILITIES:

  • Oversee all office accounting and maintain tight fiscal control of all transactions.
  • Develop annual and monthly operating budgets, follow up on financial transactions and finalise monthly financial reports to send to ICTJ Cape Town and ICTJ New York.
  • Prepare expense reports, record and reconcile all payments and receipts, and prepare financial reports.
  • Prepare requests for funds/claims for refunds to submit to ICTJ New York.
  • Oversee all administrative and financial aspects of ICTJ activities in Kenya in collaboration with the Head of Office, Kenya and the Cape Town office.
  • Monitor all legal and administrative records in terms of Kenyan law.
  • Oversee the purchase and maintenance of office and IT equipment and logistical requirements of the ICTJ Kenya team.
  • Liaise regularly with accountants, auditors and legal advisors.
  • Liaise regularly with ICTJ New York regarding policies, administrative and financial issues.
  • Assist visiting ICTJ staff.
  • Coordinate travel arrangements.
  • Perform other duties as necessary and as requested.

Program Associate - Kenya

ICTJ seeks a Program Assistant for its office in Nairobi, Kenya. The ideal candidate - a Kenyan national - will preferably have some transitional justice expertise. The position will be based in Nairobi and will report to the ICTJ Head of Office.

RESPONSIBILITIES:

  • Provide administrative support to the Kenya Program. This will include: greeting visitors, managing daily calendars, answering phones, and providing basic administrative assistance including photocopying and filing, expense reports, internal administrative requests, and other office support tasks.
  • Provide general assistance to the Kenya Program's programmatic work including assistance with event planning, logistics and reporting for conferences, meetings and seminars; drafting, maintaining and reporting on project proposals and budgets; working with ICTJ consultants; handling internal administrative work generated by the programmatic work, including payment requests; and assisting with travel planning and arrangements.
  • Assist the Head of Office to manage program budgets, track expenses, report on grants, and liaise with the Cape Town office and finance department in New York.
  • Work as part of the team under the direction of the Head of Office, in coordination with other staff, to become familiar with and contribute to the substance of ICTJ's Kenya work.
  • Plan and participate in the capacity building activities of the Kenya office, organizing workshops and compiling training materials on transitional justice issues and mechanisms.
  • Support the advocacy activities of the Kenya office, drafting necessary materials, planning events, and supporting the travel and other advocacy activities of the Head of Office.
  • Draft a monthly situation report, for internal use, on transitional justice and political and security developments in Kenya.
  • Provide general support to the Head of Office.
  • Perform other duties as necessary and as requested.

Program Assistant, Kenya

ICTJ seeks a Program Associate for its office in Nairobi, Kenya. This position will be based in Nairobi and will report to the ICTJ Head of Office.

RESPONSIBILITIES:

  • Perform research and writing tasks (compile and organize comparative information, legal research, etc.); prepare draft memos and other documents under Senior Associate supervision; assist on country papers and other written work for publication; and track country news and developments.
  • Coordinate with Program Assistant on monitoring budgets; assist Head of Office with managing consultants (maintaining correspondence and overseeing contracts); collaborate with Program Assistant on the organization of workshops and other preparations for country missions and follow-up; cover for the Head of Office on country and/or thematic work when absent; and respond to general requests for information.
  • Assist in the work-plan process; write grant proposals and reports; help draft Annual Report and website updates.
  • Assist with ICTJ's capacity building activities, organizing workshops and preparing training materials.
  • Contribute to the advocacy activities of the ICTJ, coordinating with local civil society to advance Kenya's transitional justice agenda.
  • Conduct periodic travel in support of country programs.
  • Participate in internal staff meetings, retreats, and substantive sessions as appropriate, and coordinate with various components and staff of the ICTJ, both in Cape Town and New York.

Geneva Internships

Internship Application

ICTJ is a human rights organization that provides technical assistance to countries in transition that are struggling to confront a period of past abuse. Depending on the context, the Center may assist with initiatives to prosecute wrong-doers, establish the truth about past massive crimes, provide reparations to victims, or implement reforms to prevent any repetition of abuse by state forces. The Center provides direct technical assistance overseas, facilitates research projects, and offers capacity-building for local actors. ICTJ interns are involved in substantive work for the majority of their time, including research, monitoring developments in key countries, and otherwise assisting program staff. A modest portion of time may be required for administrative duties.

Internship positions are available with ICTJ's offices in Geneva, Switzerland. Internships are generally for 3 months, although a shorter or longer period may be possible. We welcome applications from students and practitioners from a wide range of disciplines. Advanced proficiency in both English and French is preferred, as well as a working knowledge of Spanish or other UN languages. Projects for 2008 require interns with excellent English writing skills; such applicants are especially encouraged to apply.

ICTJ Geneva is not in a position to remunerate interns. Interns must have sufficient funding for their travel, mandatory health insurance, and daily living and lodging costs. ICTJ can provide an indication of the living costs in Geneva and information on relatively inexpensive student hostels.

Three full-time internship positions are available with ICTJ's office in Brussels, Belgium for the period of July-December 2009 (inclusive). We welcome applications from students and practitioners from a wide range of disciplines. Advanced proficiency or fluency in spoken and written French is a prerequisite for consideration.

A stipend of 650 Euros a month is available for each intern. We welcome applicants from throughout the world, though ICTJ will not be able to obtain work authorization or visas for an intern who is not an EU resident.

New York Internships

CHILDREN AND TRANSITIONAL JUSTICE RESEARCH INTERN

The ICTJ is searching for one intern to assist with research and assessment activities on children and transitional justice. Transitional justice mechanisms seeking to deal with past violations have frequently overlooked children's issues and perspectives, and practitioners in the field have only recently begun to acknowledge the significance of children's participation in these measures.

DUTIES:

  • Research issues related to the participation and protection of children in transitional justice processes.
  • Country mapping exercises; extensive desk research and logistical preparatory work for country assessments.
  • Research, fact-checking and editing on reports, training materials and other documents.
  • Data management.
  • General administrative assistance.

Applicants enrolled in a graduate degree program in human rights, international affairs, anthropology, law, political science or other related fields with a particular focus on child rights and protection will be given priority. Experience working on children's issues or child rights internationally preferred. Some knowledge and understanding of transitional justice also preferred. Please note that all internships are unpaid.

Start date: late July/early August 2009
Duration: 6 months
Hours per week: Full time
Languages: English fluency and preferred proficiency or fluency in Spanish. Knowledge of French also desirable.

ABOUT THE PROGRAM

The New York Internship Program provides students with a full-time professional experience that demonstrates the nature of substantive work within ICTJ, and applies the theories and concepts of transitional justice (and its attendant disciplines) already developed in students’ formal coursework.

We welcome applications from persons from a wide range of disciplines, including both undergraduate and graduate students. All interns must have advanced proficiency in English. Persons who also have strong writing and speaking abilities in other languages are particularly encouraged to apply.

The competitive nature of the applicant pool means that interns will be placed largely according to program needs.
